Meeting Spaces

If you are looking for space to hold a meeting, gathering, or special event, the Derby Public Library has meeting spaces that will meet your needs. We have a space for every occasion whether you need a private study room for two or a large Community Room for 180 people.

All rooms must be booked before use, including the study rooms. If you are interested in renting one of the rooms, click on the link below. Before doing so, please note the following:
 

  • Submission of a room booking request does NOT constitute a confirmed room rental.  Staff will process your request and follow up with you via email/phone before it is confirmed.  Please make sure admin@derbylibrary.com is whitelisted in your email, or emails may end up in your trash or junk/spam folder.
     
  • Rooms can be reserved in 30 minute increments. Make sure to include any time needed for set-up and take-down when you submit your booking request. Note: library staff are not available to assist with setting up before or cleaning up after a room rental. All set-up and clean-up are the responsibility of the person or group renting the space.
     
  • Staff will contact you about your room request within one to two business days. Please submit booking requests at least a week in advance to give staff time to review them. The library's meeting spaces are in high demand, and we cannot guarantee a room willl be available on short notice.
     
  • You may submit a room booking request up to 90 days in advance.
     
  • For recurring events, please contact Justin, Technology Coordinator, or Hannah, Assistant Director via email.
     
  • This website is for Derby Public Library room requests only. For rental requests at Madison Avenue Central Park or Warren Riverview Park, please visit www.meetinderby.com.
     
  • Please review the meeting room policies before submitting a booking request.

When making your room booking request, make sure to include any time needed for set-up and take-down when you submit your booking request. You will only have access to the room during your booking window, even if there is no booking prior to yours. Plan on arriving at the library at the start of your booking time.

Note: library staff are not available to assist with setting up before or cleaning up after a room rental. All set-up and clean-up are the responsibility of the person or group renting the space.

If technology equipment is required, schedule an appointment with library staff for instructional use of the equipment prior to the day the equipment has been reserved for. Appointments can be made by emailing Justin, Technology Coordinator, or Hannah, Assistant Director.

Payment is required before your booking request is finalized. We require payment within one week of making your reservation. Notify us immediately if your event is cancelled. We accept checks, money orders, credit cards, or cash. Credit card payments can be made over the phone.

Community Room

  • $50 an hour for business and private social events, including for-profit businesses or individuals.
  • $10 an hour for non-profits, including civic clubs, churches, and other community groups and organizations.
  • $50 additional flat fee will be added for events serving a hot, catered, or covered-dish meal.
  • Room dimensions are roughly 41 feet by 47 feet with a stage that is 8.5 feet deep and 24 feet wide.
  • Seats 180 auditorium style with no tables set up.
  • Maximum capacity with tables is 105 people.
  • Rectangle tables are 2 feet by 5 feet. 35 are available.
  • Round tables are 60 inches in diameter. 14 are available.
  • Podium and mic stands are also available for renter use.
  • Default room configuration is no tables or chairs set-up. Set-up is the responsibility of the individual or group renting the space. Tables and chairs are stored in a large storage closet.
  • Technology available: projector screen and room speakers with HDMI, VGA, and wireless connections. Two handheld mics and one lavelier mic are available for use. A DVD player is also available.
  • The Community Room is available both during and outside of library hours.
  • The Community Room is unavailable on dates the library is closed for a holiday.

Frank Fanning Conference Room

  • $15 an hour for business or private meetings, including for-profit businesses or individuals.
  • No charge for nonprofits, including civic clubs, churches, and other community groups and organizations.
  • $10 additional charge will be assessed for events serving a hot, catered, or covered-dish meal.
  • Room dimensions are roughly 23 feet by 29 feet.
  • Seats 30 auditorium style with no tables set up.
  • Rectangle tables are 2 feet by 6 feet. There are 8 available. Tables may be moved to change room configuration.
  • Technology available: projector screen and room speakers with HDMI and VGA connections. A DVD player is also available.
  • The Frank Fanning Conference Room is available during library operating hours only.

Group Study Room

  • No charge for use.
  • No catered, carry-out, delivery, or covered dish meals may be served in the Group Study Room.
  • Seats approximately 16 people.
  • Room contains four 42-inch square tables that may be moved to reconfigure the space.
  • Available during library operating hours only.

Small Study Rooms

  • No charge for use.
  • Two small study rooms are available.
  • Each room seats 2-3 people at a large desk.
  • Available during library operating hours only.
