Meeting Spaces

If you are looking for space to hold a meeting, gathering, or special event, the Derby Public Library has meeting spaces that may meet your needs. Spaces available at the library are as small as private study rooms that can accommodate two people to the Community Room, which can seat as many as 180 people.

All meeting rooms are available on a first-come, first-serve basis.  If you are interested in renting one of the rooms, click on the link below.  Before doing so, please note the following:

 

  • Submission of a room request does NOT constitute a confirmed reservation.  Staff will process your request and follow up with you via email/phone before it is confirmed.  Please make sure admin@derbylibrary.com is whitelisted in your email or emails may end up in your trash or junk/spam folder.
     
  • Rooms can be reserved in 30 minute increments.  You must include any additional time needed for setup and cleanup.
     
  • Staff will contact you about your room request within one or two business days.  Please submit requests at least a week in advance to give staff time to process them.  Rooms fill up quickly and we cannot guarantee a room willl be available on short notice.
     
  • You may submit a room request up to 90 days in advance.

The Derby Public Library is moving to a new room reservation system.  We are planning on going live on Thursday the 11th.  Please bear with us as we make this migration and iron out all the little details.

 

 

When making your reservation, remember that you are responsible for setting up the room and returning the room to its original layout. Please include the time you need to set up and clean up when you make your reservation. Please do not plan on coming in earlier than your reservation starts to set up.

Users of library-owned equipment are expected to meet with library staff for instructional use of the equipment prior to the day the equipment has been reserved for.

Payment is required before your reservation is finalized. We require payment within five days of making your reservation. Notify us immediately if your event is cancelled. We accept checks, money orders, Visa or Mastercard, or cash.

Community Room

  • $50 an hour for business and social events, including for-profit businesses or individuals and private social functions
  • $10 an hour for nonprofits, including civic clubs, community organizations, churches, and not-for-profit organizations
  • $50 additional charge will be assessed for events serving a hot, catered, or covered-dish meal
  • Room dimensions are roughly 41 feet by 47 feet with a stage that is 8.5 feet deep and 24 feet wide
  • Seats 180 auditorium style with no tables set up
  • Maximum capacity with tables is 105 people
  • Rectangle tables are 2 feet by 5 feet and 35 are available
  • Round tables are 60 inches in diameter and 14 are available
  • The Community Room is available both during and outside of library hours
  • It is not available to rent on dates the library is closed for a holiday

Frank Fanning Conference Room

  • $15 an hour for business or private meetings, including for-profit businesses or individuals
  • No charge for nonprofits, including civic clubs, community organizations, churches, and other community groups
  • $10 additional charge will be assessed for events serving a hot, catered, or covered-dish meal
  • Room dimensions are roughly 23 feet by 29 feet
  • Seats 30 auditorium style with no tables set up
  • Rectangle tables are 2 feet by 6 feet and 8 are available
  • The Frank Fanning Conference Room is available during library operating hours only

Group Study/Conference Room

  • No charge for study groups or tutoring sessions
  • $10 an hour for business or private meetings, including for-profit businesses or individuals
  • No charge for nonprofits, including civic clubs, community organizations, churches and other community groups
  • No catered, carry-out/delivery or covered dish meals may be served in the Group Study/Conference Room
  • Seats 16
  • Tables are 42 inches square
  • Available during library operating hours only

Small Study Rooms

  • Two rooms that seat 2 each
  • No charge for use
  • Available during library operating hours only
